Club Treasurer

A youth soccer club treasurer is the primary financial officer responsible for overseeing the club’s budget, processing payments, collecting membership fees, and ensuring overall fiscal sustainability. They act as the financial safeguard for the organization, bridging day-to-day money management with long-term strategic goals.

Key Responsibilities:

1. Financial Planning and Budgeting
  • Budget Creation: Collaborate with the club committee to draft an annual budget detailing projected income and expenses (e.g., tournament fees, insurance, coaching salaries, and pitch rentals).
  • Financial Monitoring: Track cash flow throughout the season to ensure teams and departments operate within their designated financial limits. 
2. Day-to-Day Accounting and Bookkeeping
  • Record Keeping: Maintain accurate, up-to-date records of all transactions, keeping all receipts, invoices, and bank statements filed systematically. 
  • Income Management: Invoice and collect membership fees, player registration dues, and payments for club events or camps. Ensure all funds are deposited promptly. 
  • Expenditure Control: Disburse payments for approved expenses, such as league registrations, referee fees, equipment purchases, and facility bookings. 
3. Reporting and Governance
  • Committee Reporting: Regularly update the board or committee on the club's financial health, highlighting current balances, outstanding debts, and forthcoming expenditures. 
  • Annual Reports: Prepare and present a comprehensive financial report at the club's Annual General Meeting (AGM) for transparency to parents and stakeholders.
  • Dual Authorization: Ensure strong financial controls are in place, such as requiring dual signatures or dual-authorization on electronic banking transactions.
4. Fundraising, Sponsorships, and Compliance
  • Fundraising Coordination: Work with volunteer committees to financially structure and forecast fundraisers, ensuring events cover their costs and generate profit.
  • Sponsorships: Manage the financial side of securing and tracking funds from corporate sponsors or local businesses.
  • Regulatory & Tax Compliance: Handle payroll for paid coaching staff, file required statutory documents, and assist with charity or non-profit tax filings as required by regional authorities.
  • Safeguarding: Because they handle vulnerable youth and organizational funds, treasurers in many regions (such as the UK and Ireland) are expected to pass a Disclosure and Barring Service (DBS) check and complete safeguarding training.
